Privacy Policy

Dental Call Solutions Pty Ltd ("DCS", "we", "our", or "us") manages personal and business information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Our Services

DCS provides diagnostic, consulting, and operational services to dental and allied health practices. The nature of these services requires us to collect and manage certain categories of business and operational information, as described in this policy.

2. Information Collection

We collect information necessary to deliver these diagnostics and services, including:

  • Contact Information: Names, practice details, email, and phone numbers.
  • Business & Operational Data: Information relating to practice performance, scheduling patterns, workflow processes, and operational capacity, collected in the course of delivering our services.
  • Team & Organisational Data: Qualitative and quantitative information regarding team capacity, role structure, and operational alignment, where relevant to the scope of engagement.
  • Marketing & Enquiry Data: Engagement metrics and prospect information relevant to growth and outreach activity.
  • Digital Interaction Data: Information submitted through our online tools, including practice capacity and revenue inputs. This data is used for service delivery and lead management purposes.
  • Communications Data: Where DCS conducts telephone-based services on behalf of a practice, calls may be recorded for quality, training, and service delivery purposes. Call recordings, call metadata, and voicemails are stored securely and retained only for as long as required to deliver the contracted service. Parties will be informed at the commencement of a call that recording may occur.
  • Risk Signal Documentation: Where our engagement uncovers risk signals — including compliance, HR, or legal matters — findings will be documented. Where we consider it appropriate, we will recommend referral to a trusted third-party specialist. Any such referral, and any sharing of information with that specialist, is made solely with the explicit permission of the client. DCS does not pass information to third parties unless instructed to do so by the practice.

3. The DCS Human-First Guarantee

DCS operates strictly within the operational and human layers of healthcare practices.

Non-ClinicalWe do not collect, store, or process patient clinical records or medical histories.
Non-AccountingDCS is not an accounting firm. We do not audit P&L statements, tax records, or financial balance sheets.
Diagnostic FocusWe access systems and information strictly for the purposes of diagnosing practice performance — including marketing effectiveness, conversion systems, operational workflows, database management, staff alignment, and risk indicators. We do not make changes to systems, workflows, or team structure during the diagnostic phase.
AHPRA AlignedWhile DCS is not a registered health practice and is not directly regulated by AHPRA, all DCS marketing, website content, and communications are voluntarily designed and reviewed in accordance with AHPRA's advertising guidelines under the Health Practitioner Regulation National Law.
Patient & Lead DataWhere DCS delivers operational services on behalf of a practice, we access patient and lead data solely on the instructions of the practice and within the practice's existing patient consent framework. DCS does not use this data for any purpose outside the contracted scope of work.

4. How We Use Your Information

  • Execute the Human-First Diagnostic™ to identify operational and human-capital inefficiencies.
  • Map the end-to-end patient acquisition and retention pathway to improve conversion and rebooking rates.
  • Manage practice databases and execute marketing campaigns.
  • Provide operational support services as defined in our service agreements.
  • Direct Marketing: We may send updates about our services. You can opt-out at any time.

5. Data Security and Global Infrastructure

DCS treats data security as a core operational commitment.

  • Enterprise Infrastructure: Our operations are powered by enterprise-grade CRM, Marketing Automation, and Unified Communication platforms hosted on industry-leading cloud infrastructure (such as Amazon Web Services), which holds global certifications including ISO/IEC 27001, SOC 2 Type 2, and PCI DSS.
  • Cross-Border Processing (APP 8): To provide the most advanced diagnostic and automation capabilities, primary data processing occurs on secure servers located in the United States. By engaging DCS services, clients acknowledge and consent to this cross-border data processing in accordance with APP 8.1 of the Australian Privacy Principles. Operational control and data ownership remain with DCS in Australia at all times.
  • Encryption & Access Controls: All data is encrypted in transit and at rest. Access is strictly limited to authorised DCS personnel and is governed by multi-factor authentication and strict internal least-privilege access protocols.
  • Retention & Disposal: We destroy or de-identify personal information once it is no longer required for the purpose for which it was collected, in accordance with APP 11.2.
  • Notifiable Data Breaches: DCS maintains a proactive response plan. In the event of an eligible data breach, we will notify affected individuals and the OAIC in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).

6. Disclosure to Third Parties

We only disclose information to trusted third-party providers (such as CRM or marketing platforms) required to deliver our services. We do not sell your data.

7. Access and Complaints

You may request access to your information or lodge a privacy complaint by contacting us directly. If you are not satisfied with our response, you may escalate your complaint to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

By accessing this website or submitting information through any form — including the Human-First Diagnostic™ enquiry or ROI calculator — you agree to these Terms & Conditions. These Terms are to be read alongside our Privacy Policy.

  • Operational Boundary: Our services operate strictly within the operational and human-capital layers of a practice. We do not access, review, or assume responsibility for patient clinical records or medical histories.
  • Responsibility: All business and clinical decisions remain the sole responsibility of the practice.

4. Human-First Diagnostic™

The Human-First Diagnostic™ is a diagnostic service designed to identify revenue leakage, system inefficiencies, and conversion or operational gaps. Diagnostic findings are based on available data at the time of review and are not a guarantee of results. Outcomes depend entirely on the implementation and execution by the practice.

Human-First Diagnostic™ Guarantee: If no system-level inefficiencies or missed revenue opportunities are identified within the scope of the Human-First Diagnostic™, the engagement fee will be refunded in full. The refund condition applies across the six operational areas reviewed by DCS. It does not extend to clinical, financial, or legal matters outside DCS's scope of engagement.

5. ROI Calculator & Submitted Data

  • Indicative Only: Outputs from the ROI calculator are estimates based on user inputs and are not a substitute for a full diagnostic.
  • Data Submission: You confirm that submitted information is accurate and that you are authorised to provide it.
  • Use of Data: Submitted data is used by DCS to assess potential engagement, provide preliminary insights, and support communication. Handling of this data is governed by our Privacy Policy.

6. No Reliance Without Engagement

You agree not to rely on information, estimates, or communication provided via this website without entering into a formal engagement with DCS. Formal services are governed by a Statement of Work and Engagement Agreement executed between the parties.

7. Intellectual Property & Proprietary Logic

  • Ownership: All website content — including frameworks, language, methodologies, and tools — remains the exclusive intellectual property of DCS.
  • Proprietary Logic: All diagnostic logic, pattern-recognition models, and diagnostic structures are the protected IP of DCS. Submission of data does not grant the user any right to replicate, reverse-engineer, or distribute DCS methodologies without written consent.

8. Confidentiality & Security

DCS takes reasonable steps to protect submitted information using enterprise-grade global infrastructure. However, data transmission over the internet is not 100% guaranteed to be secure, and information is submitted at your own risk.

9. Third-Party Platforms

This website utilises third-party systems including CRM, automation, and analytics platforms. DCS is not responsible for the performance, availability, or data handling protocols of these third-party providers beyond our direct operational control.

10. Limitation of Liability

To the maximum extent permitted by law, DCS is not liable for indirect, incidental, or consequential loss, or for decisions made based on website content, diagnostic findings, or calculator outputs.

11. Governing Law

These Terms & Conditions are governed by the laws of Queensland, Australia.

12. Updates

DCS may update these Terms & Conditions at any time. Material updates will be notified via the website. Continued use of the website following notification of updates constitutes acceptance of the revised Terms.
